Absence, and What Reaches the Run
Absence is the input most likely to be recorded nowhere. By the time it matters it has usually been reconstructed from memory.
Nobody elseif the person who does this is away
Absence is the payroll input most likely to be recorded nowhere. It is agreed in conversation, noticed informally, and reconstructed at the cut-off from whoever happens to remember.
The input problem described in “Absence, and What Reaches the Run” is easier to manage when hours and changes have a visible owner. A team evaluating a practical route to remote workforce management software for remote workforce management software can connect employee-controlled time records with projects and approvals, while the payroll system remains the source of truth for pay calculations.
By the time it matters — a dispute, a final payment, a year end — it has usually been reconstructed twice.
The questions raised in “Absence, and What Reaches the Run” can also be checked against Canada payroll resources. Use that material to identify the evidence and owner needed for the next payroll run.
The kinds that affect pay
Annual leave taken, annual leave accrued, sickness, unpaid leave, family-related leave, and time off in lieu.
| Kind | Usually recorded | Needed when |
|---|---|---|
| Annual leave taken | Sometimes | Final payment, year boundary |
| Sickness | Rarely | Pay calculation, a dispute |
| Unpaid leave | Rarely | The run it falls in |
| Time off in lieu | Almost never | A disagreement, months later |
What each is worth, who qualifies and under what conditions differs by jurisdiction, by contract and by the employer, and those are questions for somebody qualified where you are.
Why nothing is recorded
Because in a small business absence is arranged by asking. Somebody says they are off on Thursday, somebody else says fine, and no artefact exists.
The arrangement works perfectly until somebody needs a number.
Where the number is needed
A final payment. A dispute about entitlement. A year end. A question from an employee who believes they have more days left than you do.
All four arrive without warning and all four need a record that was supposed to have been kept continuously.
The minimum worth keeping
A shared sheet: person, dates, type, and whether it is paid. One line per absence, added at the point it is agreed.
It is less than any software and solves most of the problem.
Balances
A running figure of what each person has taken and has left, visible to them. Most disputes about entitlement are disagreements about arithmetic nobody has written down, and showing the figure removes them.
Sickness
Harder, because it is not planned and is often reported informally. A message on the morning is the record, and messages are not a record unless somebody transfers them.
Transferring them at the time is a minute; reconstructing a year of them is not possible.
The absence that changes pay
Where an absence affects what is paid, the change has to reach the run in that period. An absence recorded after the run means a correction, and corrections in this area are the ones employees notice hardest.
Part-time and irregular hours
The place where recording absence in days rather than in hours goes wrong. A day off means something different for somebody working three days a week, and the arithmetic that follows depends on the arrangement.
Worth settling once, in writing, rather than per instance.
Carry-over at the year boundary
What carries, how much, and until when. A rule that exists only in the owner's head produces a different answer each year and a predictable argument each January.
Who should see the record
The person it belongs to. Giving people their own balance converts you from the keeper of a secret number into somebody maintaining a shared one, and it makes errors get found by the person best placed to notice.
The reconstruction problem
A business that keeps nothing and is asked for a year of absence will produce it from calendars, messages and memory — and will produce a figure that is approximately right and completely unevidenced.
That is a poor position in any disagreement.
What this is not about
How much leave anybody is entitled to, how sickness should be paid, or what any absence is worth. Those depend on law and contract and are matters for somebody qualified where you are.
The sheet that costs nothing
One row per absence: person, dates, type, paid or not, who approved it. Added when it is agreed, by whoever agreed it.
It is less than any leave system, it is maintained by the people the absences belong to, and it is the only thing that converts a year of conversations into a record.
What it looks like when it is missing
A final payment calculated from a guess. An argument in January about carry-over that neither side can evidence. A year end that does not match. A person who believes they have four days left when the business believes they have none.
Each of those is a specific, foreseeable consequence of a record nobody kept, and each costs considerably more than the record would have.
Showing people their own figure
The single most effective thing available here. A balance each person can see means errors are found by the person with the strongest reason to check, and it removes the whole category of disagreement where two people have been keeping different private counts.
It also means the record gets corrected during the year rather than reconstructed at the end of it.
What it is about
That the thing happened, on those dates, of that type — recorded when it was agreed, by whoever agreed it, in a place that is not a conversation.
